Job Description:

We’re on the lookout for a dynamic individual to join us as a Client Experience and Administrative Coordinator. You’ll be the heartbeat of our office, ensuring seamless operations while providing unparalleled care to our clients. If you’re highly organized, personable, and tech-savvy, we want to hear from you! This role is NOT fully remote and will transition to full-time within 9-12 months.

Key Responsibilities:

  • Building Client Relationships: Forge strong connections with our clients, offering empathy, patience, and clear communication to address their needs.
  • Client Support: Handle client communications, offering support and guidance through legal processes with compassion and understanding.
  • Office Management: Keep our office running smoothly by managing mail, running errands, and ensuring everything is organized and stocked.
  • Event Support: Assist with event logistics and preparation, ensuring everything runs seamlessly.
  • Administrative Tasks: Help with printing, scanning, and managing documents, as well as inputting information into our systems.
  • Standard Operating Procedures: Develop and document SOPs to keep our operations efficient and consistent.
  • Legacy Interviews: Preserve our clients’ stories and experiences through legacy interviews.
  • Tech Integration: Utilize technology to streamline workflows and enhance client experiences.
  • Financial Management: Assist with accounts payable and financial data entry.

Qualifications:

  • Previous office management or client care experience preferred.
  • Bilingual proficiency (English/Spanish) is a plus.
  • Strong organizational skills and attention to detail.
  • Proficiency with technology and a willingness to learn new platforms.
  • Ability to multitask and prioritize effectively.
  • Warm and personable demeanor with excellent communication skills.
  • Intrapreneurial mindset with a passion for growth.
  • Florida Notary certification or willingness to obtain it.
  • Adaptability to evolving responsibilities as we grow.
